1. The short version
- We collect what we need to run the waitlist and the app: who you are, how to reach you, and the job records, messages and files your company puts in.
- We don't sell personal information, and we don't share it for advertising.
- This website sets no cookies and has no analytics or ad trackers.
- Services that help us run ReeveCrew, such as hosting, email, texts and AI, see only what they need. They are listed below.
- Your data is stored in the United States.
- You can ask to see, correct or delete your information at any time.
2. Who this covers
This policy covers the ReeveCrew website, the waitlist and the ReeveCrew app (the "service"), run by ReeveCrew ("we", "us"). It goes with our terms of service.
There are two kinds of people in it. Waitlist visitors give us their details to hear from us. People who use the app do so because their company set them up: for a company's data, such as its jobs, crew and records, the company decides what goes in, and we handle that data for it. If you're a foreman or an office member and want to see or change something in your company's records, ask your company first. You can also write to us.
3. What we collect
From the waitlist form, what you type in:
- your name, work email, phone number (optional) and role;
- your company's name, trade, number of people in the field, and the country and province or state where you work;
- the tools you use now, and anything you tell us you'd fix first;
- whether you said yes to launch news and product updates, and when you confirmed it.
In the app, what your company and the people in it put in or connect:
- People: names, emails, phone numbers, roles and profile photos of the company's team, and contacts such as general contractors, suppliers and customers.
- Job records: jobs, tasks, schedules, RFIs, change orders, T&M tags, daily reports, progress claims, holdback, bills, safety logs and the signatures on them.
- Time: clock-in and clock-out times, cost codes, and the place a phone was when a person clocked in, used to check they were at the site.
- Messages: email, texts, photos, voice notes and calls that come to the company's addresses and number, and, if you connect one, the mail in a connected mailbox.
- Files: documents, drawings and photos that are uploaded, and the text we read out of them so you can search them.
- AI use: the questions asked, the answers given and how much AI each person and company has used.
Automatically, when you use the service:
- sign-in and security records: your IP address, device and browser type, and when you signed in;
- technical logs that help us find and fix errors, from which we keep personal details out.
4. How we use it
- To run the waitlist, pick who to invite to the beta, and set up companies.
- To provide the app: to file messages to jobs, draft documents, count deadlines and send what you ask us to send.
- To sign you in, keep accounts secure and stop abuse.
- To send the emails and texts the service needs, such as invitations, sign-in links and alerts you've turned on.
- To send launch news and product updates, only if you said yes and confirmed.
- To fix problems, measure how much AI is used, and improve the service.
- To meet legal duties.
We don't use your information for anything that isn't on this list without asking you first.
5. AI and voice
The app uses AI services to read messages, draft documents, search files and answer questions, and a voice service to listen to spoken questions and read answers aloud.
- What they see: the text, files, audio and records needed to answer the request in front of them. The AI sees only what the person asking is allowed to see.
- Training: we don't use your data to train our own models, and we set up our providers' accounts so that your data isn't used to train theirs.
- Keeping: providers may keep what they receive for a limited time under their own terms, for example to check for abuse. We delete a voice transcript from the voice service right after the call. The voice service's backups can hold data for up to 30 days.
- Tracing: to see how the AI is doing, we keep a record of each AI run (ids, counts, models, cost and timing) with a monitoring service. It holds no message text, no file contents and no answers.
A person checks what the AI drafts before anything leaves your company, and you can take back changes it makes.
6. Who else sees it
We don't sell your information. We share it only with the services below, to run ReeveCrew, and when the law requires it. Each can see only what it needs for its job.
- Railway: hosts the app, its database, files and search, in the US West (California) region.
- Cloudflare: routes web traffic to our sites and protects them.
- Anthropic: its Claude AI reads and drafts text for the app.
- Voyage AI: turns text into search data, so you can find what's in your files and messages.
- ElevenLabs: turns spoken questions into text and reads answers aloud, when you use voice.
- Langfuse Cloud: keeps the metadata-only record of AI runs described above, in its US region.
- Resend: sends the app's emails and passes on the email that comes to the company's addresses.
- Twilio: carries texts and photos to and from a company's number, and text alerts, if you use them.
- Attio: holds the waitlist, our contact list for people who ask to join.
- Google and Microsoft: only if you connect a Gmail, Outlook or Microsoft 365 mailbox, so we can read it and send from it as you ask.
- Accounting software: only if you connect it, for example QuickBooks, Xero or Sage. That sync is on the way in the beta.
We may also share information if we have to by law, to protect people or the service, or as part of a sale or merger of ReeveCrew, in which case we'll tell you and the new owner must honour this policy.
Your information is stored in the United States. That means US courts and agencies may be able to get it under US law. We don't offer Canadian-only storage yet.
7. Cookies and tracking
This website sets no cookies and doesn't use analytics, advertising pixels or fingerprinting. The app uses only the cookies it needs to keep you signed in and secure. We don't use tracking cookies, and we don't sell or share personal information for advertising.
8. Marketing emails
We send launch news and product updates only with your consent. If you tick the box on the waitlist form, we email you a link, and your consent counts once you press the button on that page. You can withdraw it at any time with the unsubscribe link in any such email or by writing to us.
Emails the service needs, such as an invitation or a sign-in link, aren't marketing and don't depend on that consent.
9. How long we keep it
- Waitlist: until you ask us to remove you, or until we no longer need it to run the beta.
- Company records: while the company has an account. A company can ask us to export or delete its data. We don't delete data because an account is unpaid.
- Deleted data: we remove it from our live systems within 30 days of a request, and from backups when they expire. We may keep what the law requires us to keep, such as records of a signed document or a payment.
10. How we protect it
- Each company's data is kept apart from every other company's in the database.
- Everyone signs in with their own account and one of four roles. For roles that can't see money, our servers take the amounts out before anything is sent, so they aren't only hidden on screen.
- Traffic to the service is encrypted in transit, and uploaded files are scanned for malware before they're stored.
- Connected mailboxes and other credentials are kept apart from your other data, and only the parts of the service that need them can use them.
- We keep personal details out of our technical logs, and give our own people only the access they need.
No service is perfectly secure. If we learn that your personal information has been exposed in a way that could harm you, we'll tell you and the authorities as the law requires.
11. Your choices and rights
You can ask us to tell you what we hold about you, give you a copy, correct it, delete it, or stop using it for something you agreed to. Write to [email protected]. We'll reply within 30 days, and we may ask you to prove who you are first.
- Canada: the federal Personal Information Protection and Electronic Documents Act and, in British Columbia, the Personal Information Protection Act give you these rights. If you're unhappy with our answer, you can complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
- Quebec: if your company is in Quebec and needs details for a privacy impact assessment under Law 25, ask us and we'll provide them.
- US: if you live in a state with a privacy law, such as California, you can ask what we collect, and ask us to correct or delete it. We don't sell personal information or share it for cross-context advertising, and we won't treat you worse for asking.
12. Children
ReeveCrew is for people who work in the trades. It isn't meant for anyone under 16, and we don't knowingly collect information from them.
13. Changes to this policy
We'll update this policy as the product grows, and the date at the top will change. If a change affects how we use your information, we'll tell you by email or in the app before it applies.
14. Contact
Questions, requests and complaints about privacy go to [email protected].
