Terms of service

The rules for using ReeveCrew: what you can count on from us, what we ask of you, and where the beta's limits are.

Last updated

1. About these terms

These terms are an agreement between you and ReeveCrew ("we", "us") about the ReeveCrew website, the waitlist and the ReeveCrew app (together, the "service"). By joining the waitlist, accepting an invitation, signing in or using the service, you agree to them. If you use the service for a company, you confirm that you can accept these terms for that company, and "you" means the company and you.

How we handle personal information is in our privacy policy, which is part of this agreement. If you don't agree to these terms, please don't use the service.

2. The private beta

ReeveCrew is in a private beta for trade subcontractors in Canada and the US. We invite a few companies at a time from the waitlist and set each one up with them. Joining the waitlist doesn't guarantee an invitation, and it doesn't create a customer relationship.

A beta is software that is still being built. Features change, move or go away, and things break. We'll tell you about changes that affect how you work, and we'd like your feedback while we make them.

The beta is free for now. We'll tell you about pricing before the beta ends, and we won't charge you for anything unless you've agreed to a price first.

3. Accounts and roles

You get an account by invitation. Each person signs in with their own account, and you must not share a sign-in. Give us accurate information and keep it current.

  • Every company has an owner. The owner invites the office, project managers and foremen, and decides each person's role (owner, project manager, office or foreman) and who can see money.
  • You are responsible for what happens under your company's accounts, including what the people you invite do with them. Remove people who leave the company.
  • Keep your sign-in details secure, and tell us at once if you think someone else has used your account.

4. Your data

Your jobs, crews, hours, files, messages and everything else you or your company put into the service, or that the service makes for you, is "your data". It stays yours. We don't sell it, and we don't use it to advertise.

You give us permission to store, process, display and send your data, and to share it with the services that help us run ReeveCrew, only as needed to provide the service to you and to keep it safe. The privacy policy lists those services.

Each company's data is kept apart from every other company's. You can ask us for a copy of your data or ask us to delete it at any time by writing to the address at the bottom of this page.

5. The AI

ReeveCrew uses AI to read incoming messages, file them to jobs, draft replies, RFIs, change notices and daily reports, answer your questions and, when you ask, make changes in the app. The AI only sees what the person asking is allowed to see.

  • The AI can be wrong. It can misread a message, pick the wrong job, leave something out or make something up. Check what it drafts before you rely on it.
  • A draft is a draft. Nothing is sent to a general contractor, a supplier or anyone outside your company until a person checks it and sends it. You are responsible for what you send and for what you approve.
  • Changes the AI makes show where they came from, and you can take them back.
  • Your data is processed by AI providers to answer you. We don't use your data to train our own models, and we set up our AI providers' accounts so that your data isn't used to train theirs. The privacy policy says more.

6. Deadlines, holdback and other calculations

ReeveCrew counts notice deadlines in working days, works out holdback and release dates, splits overtime and statutory holiday hours, and flags things that need a look. These are aids for your own people. They are not legal, accounting, payroll or tax advice.

  • Rules are built in for British Columbia today. Rules for other provinces and states aren't built in yet, so check them yourself.
  • Your contract and the law decide the real deadlines and amounts. Check what the app shows against them before you act, especially before a notice, a lien, a progress claim or a payroll run.
  • Your payroll provider still runs pay, tax and deductions, and your bookkeeper still keeps the books.

7. What you can't do

Use the service lawfully and with respect for other people. You must not:

  • break the law or someone else's rights with the service, or use it to send spam or unlawful messages;
  • put in files or messages that contain malware, or that you have no right to use;
  • try to get into another company's data, probe or test the service's security without our written permission, or get around its limits;
  • overload the service, or use bots or scraping to collect data from it;
  • copy the service, reverse engineer it or use it to build a competing product;
  • use it to give instructions to the AI that try to make it break these rules.

8. Messages, files and connections you bring in

You may connect a mailbox, forward email, text a company number, upload files or record voice notes and calls. You promise that you have the right to bring in what you add, and that you've told the people involved and got any consent you need before their messages, voices or location are recorded. Crew members, customers and general contractors are people too.

When you connect a service you use, such as a Gmail or Microsoft mailbox, or accounting software when that sync is ready, you let us read and, where you ask us to, send or write through it. Those services have their own terms. You can disconnect them at any time.

9. Fees

The service is free while it's in beta. If we introduce fees, we'll give you notice and the price first, and you can choose to stop using the service instead of paying. Paid plans, when they start, will have their own terms for billing and taxes.

10. Emails from us

We'll send you emails the service needs, such as invitations, sign-in links and alerts you've turned on. You can't opt out of those while you use the service. We send launch news and product updates only if you said yes on the waitlist and then confirmed from the link we emailed you. You can unsubscribe at any time.

11. Who owns what

We own the service, including its software, design and name. You get a limited, non-exclusive right to use it for your company's business while these terms are in effect. You own your data.

If you give us feedback or ideas, we can use them to improve the service without paying you or asking permission. We won't say they came from you without asking first.

12. Availability and support

The service is provided "as is" and "as available". We work to keep it running and your data safe, but we don't promise it will always be on, on time or free of errors, and a beta can have more of them. Keep your own copies of anything you can't afford to lose, and ask us for an export when you want one.

13. No other promises

To the fullest extent the law allows, we don't give any warranties other than the ones in these terms, including that the service is fit for a particular purpose, accurate or won't infringe anyone's rights. Some places don't allow some of these limits, and then they apply only as far as the law lets them.

14. Limit on what we owe you

To the fullest extent the law allows, we aren't liable for lost profits, lost work, missed deadlines, lost holdback, lost contracts, or any indirect, incidental or consequential damages from using the service, even if we were told they could happen.

Our total liability to you for anything arising out of the service is limited to the greater of what you paid us for the service in the 12 months before the claim and CAD $100. None of this limits liability that the law doesn't let us limit.

15. Your responsibility

You are responsible for your data, for how you use the service and for what you send from it. If a third party makes a claim against us because you broke these terms or the law, or because of data you put into the service without the right to, you'll cover our reasonable costs and losses from that claim.

16. Stopping and suspending

You can stop using the service at any time and ask us to delete your data. We can suspend or end your access if you break these terms, if your use puts the service or other people at risk, or if we end the beta or the service. When we can, we'll tell you first and give you the chance to take a copy of your data.

The parts of these terms that by their nature should continue after you stop, such as who owns what, the limits on what we owe you and the governing law, do continue.

17. Changes to these terms

We'll update these terms as the product grows. The date at the top shows the latest version. If a change matters to you, we'll tell you by email or in the app before it applies. If you keep using the service after a change takes effect, you accept the new terms.

18. Governing law

These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there, without regard to conflict of law rules. Disputes go to the courts of British Columbia, and you and we agree to those courts, except where the law of the place you live gives you the right to go to a court there.

If a part of these terms can't be enforced, the rest stays in effect. These terms and the privacy policy are our whole agreement about the service, and you can't transfer your rights under them without our written permission.
